How the numbers work

Step 1

Break-even

All your costs when the trip is full, divided by the number of spots.

Step 2

Suggested price

Break-even ÷ (1 − target profit − fees), rounded up to a tidy number, so the profit is left after fees.

Step 3

Reality check

Profit at 70% full and the number of guests you need to break even, so you know your risk.

FAQ

Frequently Asked Questions

  • Add up everything the trip costs when it's full: venue or rooms, food, guides or teachers, activities and marketing. Divide by the number of spots to get your break-even per guest. Then add your profit and the fees taken from each booking. Finally, check the numbers at 70% full: most trips don't sell every spot, and a price that only works when full is risky.
  • Many retreats, camps and lodges take 25–30% at booking and the balance before arrival. A deposit high enough to cover your non-refundable costs (venue deposits, flights for staff) protects you if a guest cancels.
  • Marketplace commissions are commonly somewhere around 10–20% of each booking, depending on the site and your contract. Check your own agreement and enter that number in the calculator.
  • Yes, as an estimate. The default is 2.9% plus a small fixed fee per payment for currencies like USD, EUR and GBP, which is a typical standard card rate. Your actual rate depends on your country, your payment provider and the guest's card, so change it if you know yours.
